Sales proposal and warehouse automation

Project at a glance

Problem

The client uses amoCRM and MoySklad (inventory management). The task was to set up Bitrix24 (CRM) around the processes the team was used to and to automate the preparation of sales proposals, data exchange with the warehouse system and the handling of warehouse requests. The scope also covered shared communications and a calendar in Bitrix24, as well as calculating sales team incentives and bonuses for designers.

What we did
  • Online proposals based on the products in a Bitrix24 deal
  • Photos, descriptions and prices from MoySklad
  • Manual editing of proposals
  • Unique proposal links and view counts
What the client wanted
  • Automate the preparation of sales proposals
  • Connect Bitrix24 and MoySklad data
  • Automate work with stock levels and warehouse requests

Personalized proposals from a deal

We built a web service that assembles an online proposal from the products in a Bitrix24 deal. Photos, descriptions and prices are pulled from MoySklad, so the manager doesn’t have to copy them into the proposal by hand. Any field can be edited.

The buyer opens the proposal via a unique link, and the service counts the views. The link is saved to a deal field or to the deal’s timeline. In the admin panel, the manager sees the list of proposals and can search for products in MoySklad.

Settings for the CRM–warehouse connection

For the app that connects Bitrix24 and MoySklad, we built a FastAPI backend and a settings interface. MySQL stores the connections to several MoySklad accounts and the mapping of warehouses between the two systems.

In the settings, a value of the deal’s warehouse field can be linked to a warehouse in MoySklad. This defines which warehouse a deal corresponds to.

Requests in NSS templates

The NSS connector generates receiving and shipping requests in XLSX and sends them by email. The files are built on the warehouse’s official templates, with the layout preserved.

Each request is sent as a separate email with one file. The Russian words for “incoming” and “outgoing” in the file name tell the warehouse the type of operation.

Payments and prepayment tracking

We built a MoySklad extension in which a manager gets a payment link from T-Bank (a Russian bank) right from a customer order. The amount can be the full price, the outstanding balance or any custom sum. The extension processes the payment confirmation, creates a prepayment in MoySklad and sends a receipt via ATOL (online fiscal receipts).

For multiple prepayments, there is a combined document. With each new payment, the extension cancels the posting of the previous documents and creates a new one for the total amount. The old documents stay in the history.
